VOLUNTEERS RECIEVE A 50% DISCOUNT!

ONENESS FEST would not be possible without our volunteers! As a thank you for your help, 50% of the ticket price will be refunded by June 28, 2024 after a verification of the completion of your volunteer shifts/duties has been made. You must work two, 4-hr shifts, to receive the refund.  

 

Our ticket fees help us to remain financially solvent while rewarding volunteers for their hard work and contribution to the community.  Proceeds from the volunteer ticket go towards covering Oneness Fest's fixed costs such as; venue rental, tent rentals, bathroom rentals, insurance etc... A portion of the proceeds also go toward purchasing the included t-shirt for each volunteer.

GENERAL INFORMATION​

Starting Your Shift

  • Don’t forget to wear your ONENESS FEST volunteer shirt. If you did not order one, we will have a limited supply of extras at the check-in station. If your job requires you to walk the grounds, you must wear the shirt so people can identify you as a person they can approach with questions and concerns.

  • Please arrive 15 minutes prior to your scheduled shift to check in, receive any instructions, and allow time to receive any relevant information from the previous volunteer.

  • When you arrive, have your volunteer ticket ready. Let the volunteers at the Registration Booth know you are here to volunteer, scan your ticket, park your car, and visit the Kitchen/First Aid building for further instructions prior to starting your shift. You will receive your Weekend Pass wristband. 

 

During Your Shift

 

Walkie Talkies

  • Please keep your walkie talkie on your person, turned on, and loud enough to hear throughout your shift.

  • Communication: “[Your volunteer title] to [volunteer title of the person you are contacting].” Wait for a reply, and then speak your request. If the person does not reply, reach out again, louder. The person receiving the request, please repeat the request back to ensure you heard correctly, i.e…

    • “Parking Attendant to First Aid.”

    • “First Aid.”

    • “We have an injured person in the Vendor Village parking lot. This person is bleeding. Can you bring medical supplies?”

    • “I will bring medical supplies to the injured person in the Vendor Village Parking Lot.”

  • If you are having any issues with your walkie talkie, visit the Kitchen/First Aid building.

  • If you have any questions, radio the “Fest Manager.”

 

Ending Your Shift

  • Please do not leave until the next volunteer has arrived. If the next volunteer does not approach you by 10 minutes after your scheduled shift ends, radio the Fest Manager and let them know. They will find another volunteer to send to you.

  • When the next volunteer arrives, provide them with relevant information, updates, etc.

  • Visit the Kitchen/First Aid building to check out.

  • Enjoy the fest!

 

IMPORTANT SAFETY INFORMATION

  • CODE BLUE: If someone stops breathing and is in need of CPR, announce “CODE BLUE” and your location loudly on the walkie talkie. The Fest Manager will call the paramedics. Make sure they provide verbal confirmation. If not, repeat “CODE BLUE” and your location louder on the walkie talkie. If you are not CPR certified, shout loudly, asking if anyone is CPR certified and can assist you.

  • CODE PINK: If you witness an attempted kidnapping, radio the words “CODE PINK” and your location. The Fest Manager will call the police. Make sure they provide verbal confirmation. If not, repeat “CODE PINK” and your location louder on the walkie talkie. Do NOT attempt to restrain this person in any way. Make note of the person’s physical appearance (heigh, weight, hair color, clothing, etc.) to share with the police when they arrive.

 

Post-Festival

Our Volunteer Manager will confirm the successful completion of your shift and a 50% refund will be issued the week following the event. (AWAKE will refund you within 7 days. Processing from your bank varies and could take 2-7 days.)​

SPECIFIC POSITIONS

Set-Up Crew

This volunteer will be assisting with set-up for the festival. You will receive instructions when you arrive. We recommend wearing comfortable clothing/shoes.

Clean-Up Crew

This volunteer will be assisting with take-down, organization of items for transport off the property, and general clean-up. You will receive instructions when you arrive. We recommend wearing comfortable clothing/shoes.

Registration Booth Attendant

This volunteer is responsible for scanning tickets; and checking in entertainers and the sponsors giving workshops. 

Check-In Procedure

​

  1. Car will drive up to the Registration booth. One volunteer will approach the window.

  2. “Welcome to ONENESS FEST 2023! Do you have a ticket?”

    1. If they have a ticket, check to make sure they have purchased the appropriate ticket (i.e. festival vs. evening entertainment, free child pass vs. paid ticket), take a picture of the QR code on their phone (literally just pull up the camera on your phone. You do not have to log in or do anything special.)

    2. If they do not have a ticket, ask them to pull off to the right side of the road, provide them with the Ticket Flyer with the QR code. Tell them to pull up their phone’s camera, scan the QR code, and purchase their tickets. After they have purchased their tickets, they can re-enter the line, have their ticket scanned, and proceed to the parking lot.

  3. Provide their access pass.

    1. Weekend Pass: green wristband

    2. Friday Evening Entertainment: draw an X in permanent marker on their hand

    3. Saturday One Day Pass: pink wristband

    4. Saturday Evening Entertainment: stamp

    5. Sunday One Day Pass: blue wristband

  4. Direct them to the parking lot.

Info Booth Attendant

This volunteer is responsible for handing out maps and programs as well as answering any questions people have regarding the festival. If you do not know the answer to a question, radio the Fest Manager and ask.

 

  1. “Welcome to Oneness Fest! Would you like a printed program, or would you prefer to use your phone? The weekend schedule is posted on our website under ‘Festival’ for the fest programs and ‘Expo’ for the Vendor classes.”

  2. Hand them a map.

  3. Answer any questions they have about the festival. If you are unsure of the answer, radio the Fest Manager and ask.

  • Gates open at 7am and close at 12am/midnight. Only campers are permitted on the grounds after midnight.

 

Sponsor Check-In Procedure

  1. Find their name on the Sponsor List, and cross it off.

  2. Provide a green wristband, and inform them this is a full weekend pass, granting them access to all of the programs, evening entertainment, and Vendor Village.

  3. Radio the Fest Manager to let them know [name] has arrived and request the truck. Someone will bring a truck to load their supplies and transport them to the Program area.

 

Evening Entertainers Check-In Procedure

  1. Find their name on the Evening Entertainment List, and cross it off.

  2. Provide a green wristband, and inform them this is a full weekend pass, granting them access to all of the programs, evening entertainment, and Vendor Village.

  3. Radio the Fest Manager to let them know [name] has arrived.

EXPO: Vendor Village Cashier

This volunteer is responsible for checking in vendors and collecting money at the entrance of the Vendor Village. This person will also educate people on ONENESS FEST if they have not already purchased tickets to attend.

​

Vendor Check-In Procedure

  1. Take a picture of the QR code on their phone (literally just pull up the camera on your phone and hover. You do not have to log in or do anything special.)

  2. Ask for the vendor’s name.

  3. Find the vendor’s name on the Vendors List, and cross it off.

  4. Provide the number of vendor badges listed under that vendor’s name. The maximum is 4 vendor badges. Inform the vendor(s) that they may share badges with people rotating in and out of their table. Be sure to state, “Please wear your vendor badge at all times and be sure to hang onto this badge all weekend. You can turn in your vendor badge here when the Expo is over on Sunday.” 

  5. Inform the vendor that they will have access to all the Vendor Classes and they are welcome to look around the Vendor Village and Relaxation Station.

  6. Remind them that neither AWAKE: Oneness Tribe nor Good Templar Park are responsible for any lost, damaged, or stolen items.

 

Cashier Procedure

  1. Welcome the guest to the AWAKE: Oneness Tribe Expo.

  2. Inform the guest the entrance fee is $5 for all ages 16+, providing access to ~60 vendors and 11 massage therapy and/or energy healing practitioners. Inform them there will be 10 Vendor Classes per day, and hand them a Vendor Village Program. Also inform them there are 3 food trucks.

  3. Inform them of the 40 programs happening at ONENESS FEST, evening entertainment, and camping. If they are interested, you can explain more about the festival and reference the “ONENESS FEST Ticket Flyer + QR Code” handout for their purchasing options.

    1. Full weekend pass

    2. One day pass - Saturday or Sunday (festival, Vendor Village, evening entertainment)

    3. Evening Entertainment only ($11 per night, Friday and Saturday)

    4. +Camping

  4. Collect the $5 per person (ages 16+)

    1. Cash goes directly into the lockbox

  5. Stamp their hand.

Volunteer Check-In

This volunteer is responsible for checking in the volunteers.

Location: First Aid/Kitchen Building

​

Procedure

  1. Find the volunteer’s name on the Volunteer List, and have the volunteer sign in.

  2. Remind the volunteer of their position, and direct to the website to read

    2. Specific information regarding their position

  3. “Please stay until the next volunteer arrives to replace you. After your shift, if 10 minutes have passed and the next volunteer has not yet arrived, come back here and let me know.”

  4. If the volunteer does not have a t-shirt, and there are extra t-shirts left, have them select a t-shirt. *All volunteers required to walk around must wear a t-shirt so they can be identified as someone who can offer assistance and answer questions.

  5. Provide the volunteer with a green wristband and inform them they have a weekend pass, granting them full access to all of the programs, entertainment, and Vendor Village.

  6. Have volunteers sign out when their shift is complete.

Troubleshooting

  • If a volunteer has not arrived by 5 minutes past their scheduled start time, use the walkie talkie to contact a floater and request they come to the First Aid/Kitchen building. Brief the floater on the position and have them read the description on the website. The floater will now be in this position.

  • If the volunteer originally assigned to this position arrives after this occurs, this volunteer will now be a floater. Educate this person on the floater position and send where needed.

  • If any positions are left unfilled, use the walkie talkie to contact the Fest Manager.

  • If there are any other issues, use the walkie talkie to contact the Fest Manager.

Security Guard

This volunteer is responsible for opening and closing the gate, emptying garbage, checking the bathroom, and walking the park to ensure there are no issues overnight and that nobody is in the Vendor Village area.

 

  • Gate

    • Open at 7am

    • Close at 12am/midnight

    • *If there is an emergency overnight, open the gate to allow emergency personnel to enter or guests to leave. If there is no emergency, nobody is permitted to enter between 12am/midnight and 7am.

  • Empty Garbage Cans

​

  • Fill up water jugs at each corner of the Program area

​

  • Check the bathrooms and porta potties (2 by Kids Korner & 2 by Vendor Village) for toilet paper, soap, cleanliness, clogs, etc. If toilet paper is needed, retrieve some from the Kitchen & First Aid building and install in the toilet paper holder. If there are any mechanical issues, use the walkie talkie to contact the Fest Manager.

    • 10pm

    • 2am

    • 6am

  • Walk around to ensure there are no issues overnight.

 

 

Parking Attendant

This volunteer is responsible for directing traffic throughout the weekend. You must wear the vest provided.

​

  1. Attendant 1: Located at the entrance

    1. Ask if people are here for the expo or ONENESS FEST.

      1. Expo: Vendor Village Parking lot, surrounding the pavilion

      2. Fest (or Fest + Expo): Drive up to the Registration Booth, down the path

  2. Attendant 2: Located near the Registration Booth

    1. Campers are allowed to have one car at their campsite. If people plan to camp, direct them to the Campsite.

      1. RVs and campers are NOT permitted.​

    2. Supervise the parking lot and report any issues.


 

Wrist Band & Bathroom Check

This volunteer is responsible for two jobs:

​

1. Wrist Bands: Walk around the festival, ensuring everyone is wearing the appropriate wrist band.

  • Friday Evening Entertainment: X in permanent marker or green wristband

  • Saturday, ONENESS FEST: pink wristband or green wristband

  • Saturday, Evening Entertainment: thumbs up stamp, pink wristband, or green wristband

  • Sunday, ONENESS FEST: blue wristband or green wristband

​

2. Bathroom Check: Check the bathrooms and porta potties (2 by Kids Korner & 2 by Vendor Village) for toilet paper, soap, cleanliness, clogs, etc. If toilet paper is needed, retrieve some from the Kitchen & First Aid building and install in the toilet paper holder. If there are any mechanical issues, use the walkie talkie to contact the Fest Manager.

Fire Keeper

This volunteer is responsible for gathering firewood, starting the fire at 9:30pm, and maintaining the fire (including adding more wood and ensuring the fire remains contained and safe), and putting the fire out with water at 11pm. The fire must be completely extinguished prior to leaving.

Floater

This volunteer is responsible for filling in wherever help is needed. If a volunteer no-shows, this person will fulfill their role. If all volunteers are in attendance, this person will help wherever needed.

 

Keep your walkie talkie on so that you can be reached and your assistance can be requested wherever needed throughout your shift.

First Aid

This volunteer is responsible for providing any requested medical supplies to guests. Please note, neither AWAKE: Oneness Tribe, Good Templar Park, nor any volunteers are responsible for the health of others. This volunteer, or any other volunteer, is not to make medical decisions for people. Keep your walkie talkie on at all times during your shift.

 

If someone is injured and cannot visit the First Aid Station,

  • bring a wheelchair, water, and medical supplies to this person.

  • Ask what medical supplies are needed, and hand them to the injured party or whoever is with them.

  • DO NOT touch the injured party without their verbal permission.

  • If necessary, ask, “Do you need to go to the hospital?” or “Would you like me to call an ambulance?”

  • DO NOT provide medical advice or make any medical decisions on someone’s behalf. If asked, simply state, “I am here to provide you with supplies and offer support. I am not authorized to provide any medical advice. Would you like me to call the paramedics?”

Kids Korner

This person is responsible for entertaining children ages 3+ between 9:30am and 4:30pm.

  • There must be at least 4 volunteers at all times.

    • In the event there are less than 4 volunteers, use your walkie talkie to contact the Fest Manager.

 

Procedure:

  1. Greet the parent/guardian and child. Ask if the child is at least 3 years old.

  2. Fill out the sign in sheet. (Child's name, parent's name, phone number, and ticket number. The clipboard should stay in a safe place, away from guest sight.)

  3. Rip off a pair of raffle tickets. Fill in the ticket number on the sign in sheet and hand the parent one ticket. Inform the parent they must present the ticket in order to pick up their child. If someone attempts to pick up a child without a ticket, this will raise suspicion and may result in calling the police, so be sure the parent knows they cannot have someone else pick up their child.

  4. Give the child a name tag.

  5. Wish the parent/guardian a fun event!

  6. When the parent returns, ask the parent/guardian to identify their child and for their raffle ticket.

  7. Check the ticket against the sign in sheet and child to ensure the numbers match.

    1. IMPORTANT: If the numbers do not match, radio the words “CODE PINK, Kids Korner” (or other location as applicable). The Fest Manager will call the police. Make sure they confirm they will call via walkie talkie. If not, repeat “CODE PINK” and your location louder on the walkie talkie. Do NOT attempt to restrain this person. Take note of the person’s appearance to share with the police when they arrive.

 

Roles:

  • Sign in volunteer will also be in charge of the walk up activity, Symmetry Butterfly Art.

    • Have a child/parent fold cardstock in half. Advise/help trace half a butterfly. Open the cardstock. Have child pick colors and locations of paint. EASY PAINT. Fold paper in half and have child help smush the paper. Open the paper and show child the butterfly they’ve made. Instruct them that when it dries, they can cut the butterfly out.

  • Other volunteers will assist children with the art table, games, and activities. See Kalee for specific instructions for tables and games.

    • Sample crafts: journey sticks, nature masks, story stones, plantings, fairy gardens…

    • Games: obstacle course, freeze tag, red light/green light, Mr. Wolf, caterpillar tag, island survival (older kids), duck duck goose, keep it up with a balloon…

  • Volunteers will need to escort children to the bathroom upon request. No child is allowed to leave the Kids Korner unattended.
